CR Advocates LLP is a progressive, Kenyan based national law firm with a growing international practice. The firm is a full service law firm specialized in Commercial Corporate law and related practice areas; with more than 20 years cumulative experience, seeking to fill the following position:

Administrative Assistant officer

Key Duties & Responsibilities

  1. Administrative Duties:-
  • Provide administrative support to the management team, including scheduling meetings, preparing reports, and managing
  • Identify any deficiencies, maintenance issues, or repair needs and make necessary arrangements for their
  • Aid in the supervision of cleaning and catering services to ensure adherence to standards and
  • Maintains files, administrative instructions, and other related documentation as well as assists in the development of office administrative systems and

 

2.     Reception

  • Welcome visitors and determine their purpose to visit as well as notify appropriate team members/staff of their arrival/visitation.
  • Operating  the   reception   desk   with   a   significant   level                                                                                       of composure and
  • Handle incoming calls and inquiries by appropriately routing them to the designated staff and
  • Provide accurate and prompt responses to general inquiries from visiting
  • Organize and date stamp incoming mail and courier
  • Coordinate courier services to ensure same-day deliveries and maintain a record of delivery

 

3.     Procurement

  • Maintain an organized and up-to-date inventory of office supplies by regularly checking stock levels, anticipating supply needs, and processing orders to ensure continuous supply of office
  • Manage petty cash funds and transactions, ensuring accuracy and accountability in all disbursements and
  • Prepare detailed reports on petty cash expenditure to maintain transparency and accurate financial

Minimum Requirements

  • A Diploma in Business Administration, Front Office Operations or its A degree would be an added advantage.
  • Work experience in a law firm front office reception support
  • Proficiency in Ms Office, planning
  • Knowledge of office administrative procedures highly
  • Switchboard operation experience will be an added
  • Mastery in written & spoken English is highly
