Job Description: Administrative Intern (UNPAID INTERNSHIP)
Location: Nairobi
Position Overview:
As an Administrative Intern within our HR company, you will provide valuable support to our administrative team, assisting with various tasks related to office and out of office operations, human resources, and client services. This internship offers hands-on experience in a dynamic workplace environment, where you will have the opportunity to develop essential administrative skills and gain insight into the field of human resources.
Key Responsibilities:
1.Office Administration:
- Assist with general office duties, including answering phone calls, responding to emails, and managing correspondence.
- Maintain office supplies inventory and place orders as needed.
- Organize and maintain physical and electronic filing systems.
- Assist with scheduling appointments, meetings, and interviews.
- Maintain accurate and up-to-date employee records in the database or filing system.
2. Human Resources Support:
- Assist HR team with recruitment processes, including job postings, candidate screening, and scheduling interviews.
- Maintain candidate databases and assist with applicant tracking.
- Assist with new hire onboarding activities, including preparing paperwork and conducting orientations.
- Assist with data entry, file organization, and documentation of employee information.
- Support HR team in organizing employee training sessions and events.
- Provide administrative support to the HR team, including drafting correspondence, preparing reports, and managing departmental calendars.
3.Client Services:
- Provide administrative support to clients, including preparing documents, updating records, and addressing inquiries.
- Assist in the preparation of client proposals, contracts, and presentations.
- Maintain client databases and ensure accuracy of client information.
- Collaborate with team members to ensure timely and effective delivery of services to clients.
4.Project Assistance:
- Assist with various projects and initiatives as assigned by supervisors.
- Conduct research and compile data as needed to support project objectives.
- Prepare reports, presentations, and other materials for internal and external stakeholders.
5.Compliance and Policy Implementation:
- Assist in ensuring compliance with company policies and procedures.
- Support HR staff in implementing HR policies and initiatives.
- Assist with audits and reviews to ensure adherence to HR regulations and standards.
Qualifications:
- Bachelor’s degree program in Business Administration, Human Resources, or related field.
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Detail-oriented with a high level of accuracy in work.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Proactive attitude and willingness to learn.
- Prior internship or work experience in HR is a plus, but not required.
