We are looking for a results oriented Executive Assistant, to join our vibrant team on a full time basis.
Overall objective of the position
The Executive Assistant will take up all the logistical and administrative roles at the institute. Your primary role will be to work closely with the CEO to ensure excellent planning of his time and commitments, ensuring nothing is overlooked.
Your Qualifications:
· You have a Degree in Business Management or related field
· A certificate in administration, secretarial or related areas will be an added advantage
· You have experience as an Executive Assistant, Administrative Assistant or Secretary in busy environment
· You are highly flexible, and can travel on short notice for work, including outside the country. You are able to work outside the conventional work hours
· You are pretty good with computers (MS Excel, MS Word and MS PowerPoint, in particular)
· You are excellent in time management skills and are able to prioritize work
· You are attentive to detail with strong problem solving skills
· You are a great communicator, charming, and a natural leader.
· You are pretty organized, maybe a little bit of a perfectionist, and can bring order in a disorganized environment
Duties / Responsibilities
- Preparation of key documents for the institution
- Managing calendars for CEO and consultants
- Correspondence with clients and other stakeholders
- Book flights, hotels, airport transfers etc for CEO and other consultants
- Represent the institute in key functions, both in and out of the country
- Organize and schedule appointments, plan meetings and take detailed minutes
- Assist in the preparation of regularly scheduled reports
- Update and maintain office policies and procedures
- Maintain contact lists, Submit and reconcile expense reports
- Act as the point of contact for internal and external clients
- Any other task allocated in line with job requirements
