Job Role Description

We are looking for an organized, experienced Executive Assistant to make the work of the Production Director & Group Executive Chef easier by supporting him with regard to logistics and administrative tasks. The tasks will amongst others include travel bookings, filing and archiving of documents, meeting minutes write-ups, follow-up calls to staff and partners, support in HR activities, and data capture in production-related software.

Roles and responsibilities

  1. Hotels bookings
  2. Airplane ticket bookings
  3. Car / Driver bookings
  4. General Business Administration
  5. Management of schedules/calendars
  6. Planning and scheduling meetings with third parties
  7. Attending meetings and writing meeting minutes
  8. Scanning and archiving documents
  9. Follow-up calls to staff and partners; Data capture in production-related software Preparation of events
  10. Support in recruitment and HR administrative processes (screening and sorting CVs, calling selected candidates and scheduling interviews, writing up of interview minutes, collecting of administrative papers

Qualifications and Skills required.

  1. Minimum of 6 years of experience in a similar role
  2. University degree in business administration
  3. Ability to type on a computer professionally (60 wpm and over)
  4. Good Knowledge of Canva
  5. General computer knowledge, very strong in Excel & word
  6. Ability to organize and plan
  7. Knows how to file and archive documents
  8. Prior experience in the food & beverage industry is a plus
