Duties and Responsibilities
Reporting to the Senior Accountant Officer, the position holder will be responsible for the following, amongst others:
● Generating related reports to verify inventory levels and determining re- order activity and usage rates at the University store.
● Set and maintain the economic order quantity of materials frequently used by the University
● Ensure the safety of the goods in the University store
● Proper documentation of all items delivered with requisitions, LPOs and Delivery notes
● Send timely notifications to departments on the arrival of goods at the store
● Ascertain the quality and quantities of the goods dispatched to user departments and ensure proper documentation.
● Maintaining an automated supply inventory database and stock ledgers
● Update and maintain an accurate and complete asset register for the University assets.
● Ensure periodical asset verification are done on timely basis and detailed report shared to the management.
● Facilitate monthly stock-take and provide explanations to the variances thereof
● Provide monthly reports on stock levels for various departments, consumption, slow-moving and obsolete goods.
● Ensure smooth operation at the University Store including, cataloguing and tagging of the University Assets
● Perform other work-related duties as assigned.
Qualification & Experience
• Diploma in Purchasing and Supply Chain Management from a recognised institution with at least 1-2 years’ prior experience in a similar job in a busy environment OR
• Certificate level training from a recognised institution with some degree of specialization in Purchasing and Supply Chain Management with at least 5 years of relevant work experience.
Skills & Competencies
• Knowledge of proper bookkeeping and inventory management
• Computer literacy and able work with computerized inventory system and data entry skills
• Well-developed verbal, written, and communication skills.
• Extra Miler and a Problem solver.
• Advanced skills in MS Office (Excel, PowerPoint) and the Internet.
• Ability to adhere to deadlines.
• Passion for quality, keen and self-driven.
