About the role

As a DesignOps Associate, you will be responsible for assisting in the coordination and management of design projects and operations. You will work closely with researchers, designers, project managers, and cross-functional teams to optimize workflows, improve communication, and enhance the overall efficiency of our internal processes. You will additionally work closely with leadership and other key stakeholders to manage resources and support the overall functioning of the collective.

Your attention to detail, strong organizational skills, ability to handle multiple tasks simultaneously, and passion for design will contribute to the successful delivery of our projects and work.

What you will be doing

The Operations Associate will play a crucial role in supporting the operations of our design collective, streamlining our processes, and ensuring smooth day-to-day operations.

Once here, from time to time and depending on the priority, you will:

  • Assist in the development and implementation of operational and project processes and procedures to streamline design operations and improve team productivity
  • Collaborate with internal teams, including research, design, project management, and finance, to understand requirements and optimize cross-functional workflows.
  • Manage and maintain accurate project documentation, including project briefs, design specifications, and progress reports.
  • Coordinate project scheduling, resource allocation, and task assignments to ensure quality standards, timely and successful work delivery.
  • Assist in budget monitoring and financial analysis and reporting to support effective cost management.
  • Support vendor management activities, including negotiating contracts, managing relationships, and ensuring service quality.
  • Monitor and assess key performance indicators (KPIs) to identify areas for improvement and implement actionable solutions.
  • Assist in the implementation and adoption of project management tools and systems to enhance operational efficiency.
  • Support the onboarding and training of new team members on operational processes and systems.
  • Support the management of design assets, including support in organizing and maintaining design files, libraries, and version control systems.
  • Identify opportunities for process improvements and propose innovative solutions to optimize design operations.
  • Stay updated on industry trends, best practices, and emerging tools in design operations and share insights with the team.

What you bring

  • Bachelor’s degree in business administration, project and operations management, or a related field.
  • Proven experience in operations, project management, project coordination, or a similar role within a design or creative environment.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent communication and interpersonal skills to collaborate effectively with cross-functional teams.
  • Proficiency in project management methodologies and tools.
  • Analytical mindset with the ability to gather and interpret data for informed decision-making.
  • Ability to multitask, prioritize, and meet deadlines in a fast-paced environment.
  • Familiarity with design processes, methodologies, best practices and an understanding of the design industry is a plus.
  • Proficiency in using productivity software and tools, such as project management software, spreadsheet applications, and document management systems.
  • Nice to have: Human-Centered Design and Strategy experience
