Responsibilities

  • Manage Google Calendar for CEOs – Set meetings with reminders using Google Meet or Zoom
  • Manage Calendly to ensure that appointments are within the proper time frames, and pertain to the proper level of urgency
  • Manage Google Email for CEOs
  • Ensure that appointments with potential clients are scheduled, all parties have been acknowledged via email about the meeting, and a reminder is set.
  • Manage Asana – Stay aware of CEO’s tasks, due dates, and assignments, and keep them informed
  • Manage virtual meetings, recordings, and notetaking informed
  • Engage in training for new operations and processes
  • Be timely, detail-oriented, and able to use judgment for what requires additional attention and what can wait
  • Engage in ad hoc administrative and organizational tasks as necessary

Qualifications

  • Bachelor’s degree or equivalent experience
  • Experience supporting a senior level executive
  • High degree of professionalism, discretion, and confidentiality while handling sensitive information and communication on behalf of the CEO.
  • Excellent communication and interpersonal skills to interface with the Leads Manager and potential clients via email and virtual meetings
  • Proficiency in managing Google Calendar, Google Drive, Calendly, Asana, and Google Email with a high degree of accuracy and attention to detail
  • Proficiency in using Google Meet and other virtual meeting software as needed
  • Proficient in using Asana and other project management tools to manage tasks, deadlines, and assignments
  • Ability to maintain a running summary of each meeting, in a single reference document in Google Docs
  • Experience with recording meetings via Google Meets and maintaining the recordings in Google Drive account
  • Ability to assist with onboarding offshore/nearshore resources including provisioning email addresses, login credentials, and operational software in various systems such as Asana, JIRA, GitLab, Google Workspace (Docs and Sheets), Flowcharting software, SendinBlue, and Quickbooks Invoices
  • Professional judgment to escalate high profile meetings, people, leaders, and other key people to the attention of the CEO as appropriate
