Position Summary
The Executive Assistant will work under the direction of, and provide administrative and operational support to, the WomenLift Health President. The Executive Assistant is an important member of the nimble, globally distributed WomenLift Health team. They contribute to the ambitious WomenLift Health strategy and work program. This position plays a vital role in team resource management, meeting planning, as well as the execution of high-level convenings.
Responsibilities and Tasks
- Manage complex calendar scheduling across time zones primarily for the President, and occasionally for the Senior Leadership team and Board members.
- Draft emails, presentations, and papers for the President’s review. Proof content and brand all materials before they are distributed. File important documents in SharePoint.
- Work with the President on a limited number of special initiatives to prioritize and track her task list to meet her deliverables and organizational objectives. This will include ensuring meetings are scheduled, materials are approved, emails are drafted and executing other appropriate tasks as needed.
- Manage the meeting needs of the WomenLift Health Global and Project Advisory Boards by scheduling meetings, coordinating timelines, drafting meeting materials when appropriate, organizing meeting materials, and designing and implementing streamlined processes.
- Work with President and other Directors to prepare for, schedule and draft summaries of weekly Senior Leadership Team meetings, and other team meetings including team retreats and learning opportunities.
- Support the President with her external commitments, including Boards and Committees, by scheduling meetings, monitoring tasks, drafting emails, and finalizing and branding papers.
- Develop working relationships with counterparts in key external partners or supporting Board members to efficiently schedule, plan, and execute engagements.
- Assist with travel arrangements, booking meeting space, and other logistical support for the President as required. Manage the President’s travel expenses and reimbursements.
- As needed, coordinate with and support the Communications team on high priority events that engage the President.
Education, Experience, Knowledge, Skills and Ability
- Bachelor’s degree required
- 5+ years of related experience in activities including project coordination, scheduling, tracking, and budgeting
- Demonstrated organizational skills, and the ability to manage multiple tasks simultaneously, while meeting deadlines
- Experience working with a range of individuals in nonprofit organizations, government, foundations, and private sectors
- Sophisticated knowledge and use of technology and varying digital platforms
- Demonstrated success in following through and completing projects
- Excellent organizational skills and attention to detail.
- Commitment to WomenLift Health’s mission, vision, theory of change, and unique positioning in the field
- Ability to exercise cultural competency and work respectfully with a diverse team across varied cultures, geographies, and time zones
- Strong verbal and written communication skills

- Ability to routinely and independently exercise sound judgment in making decisions
- May require up to 10% travel
- Available for 6AM calls twice a week if you are located in the Pacific time zone
Valued and Non-Essential Education, Experience, Knowledge, Skills and Ability
- Background in global health, gender equity, and leadership development preferred
