JOB PURPOSE
- The Store Assistant will be responsible for supervising inventory, ensuring efficient distribution of supplies, maintaining accurate records, and overseeing store operations. The role involves implementing best practices for inventory control to enhance operational efficiency and minimize waste.
KEY RESPONSIBILITIES:
Inventory Management:
- Conduct daily inventory checks and report any shortages to the Security Coordinator.
- Maintain accurate stock records and ensure proper storage of all items, materials, and operational supplies.
- Oversee the implementation of standard inventory control procedures to minimize loss and optimize stock levels.
Distribution:
- Organize and oversee the distribution of supplies and materials to various departments.
- Prepare and update the distribution plan for essential supplies.
- Ensure delivery notes are duly signed upon receipt of materials.
- Coordinate with drivers and loaders to facilitate smooth deliveries to various operational locations.
Data and Reporting:
- Record and maintain store inventory data accurately in the ERP system.
- Prepare inventory projections and purchase orders as required for respective departments.
- Coordinate with the procurement department to ensure timely delivery of supplies in alignment with operational needs.
General Store Management:
- Oversee store operations in liaison with the external store service provider.
- Ensure the store is organized and compliant with safety and inventory standards.
- Implement best practices for inventory control to reduce waste and enhance efficiency.
Operations Support:
- Assist in implementing and maintaining company standard operating procedures (SOPs) for inventory control.
- Support internal teams by ensuring prompt issuance of requested materials.
- Ensure compliance with company policies and regulations regarding store operations.
- Maintain proper documentation for incoming and outgoing inventory.
- Provide administrative support, including record-keeping, order processing, and reporting.
- Assist in training new staff on inventory procedures and best practices.
- Advanced Inventory Management (Level 2 Responsibilities):
- Conduct inventory audits and advise the department on slow-moving items.
- Help implement cost-saving initiatives by reducing stock wastage and pilferage.
- Suggest improvements to store layout and stock arrangement to optimize space utilization.
- Analyze historical data to optimize inventory levels and reduce operational waste.
- Develop and implement inventory management strategies, including maintaining safety stock, reordering levels, and contingency planning to support waste collection operations.
Qualifications & Experience:
- Diploma or degree in Supply Chain Management, Procurement, Business administration, or a related field.
- Minimum of Two (2) years of experience in inventory management, warehousing, or a related role.
- Experience using ERP systems for inventory tracking and reporting.
- Strong analytical and problem-solving skills.
- Excellent organizational and time-management abilities.
- Knowledge of inventory control principles and best practices.
- Strong communication and teamwork skills.
