Office Manager/Receptionist in our office in Nairobi, Kenya.
As an Office Manager/Receptionist you will be responsible to oversee the smooth running of administrative operations in at our offices in Kenya. An office manager is a key member of the People and Facilities team and the role involves handling office administration and ensuring the safety and wellbeing of employees in the workplace.
Responsibilities
– Managing the office infrastructure and facilities: The office manager is responsible for ensuring that the infrastructure and facilities in all our offices are well-maintained and functioning optimally. This includes managing the office spaces in all our locations in Kenya, managing equipment, supplies, and utilities with a focus on sustainability.
-Overseeing the administrative functions: The office manager is responsible for managing administrative tasks such as record-keeping, invoicing, managing contracts, authorizing expenses, paying bills, and handling correspondence; and coordinating the same in all our Satellite Offices.
– Organizing events and meetings: The office manager is responsible for organizing internal and external events as part of an active member of the Social Club, including scheduling the events, arranging for refreshments, sending invitations, and managing logistics.
-Managing finances: The office manager is responsible for managing budgets, tracking expenses, and ensuring that financial records are up-to-date and accurate.
-Leading and motivating the outsourced support staff: The office manager is responsible for leading and motivating the outsourced support staff.
-Building partnerships and managing relationships: The office manager is responsible for building relationships internally and externally with key stakeholders such as clients, suppliers, and vendors, and managing these relationships to ensure positive outcomes for the organization.
-Support in the Implementation and monitoring of statutory procedures, regulations and recommendations related to health & safety protocols.
– Travel Bookings: The Office Manager/Receptionist is responsible for end to end travel and accommodation bookings as well as relocations as per the company policy.
– Assist and help the Management Team and the People team with adhoc tasks as required.

Experience Requirements
- Bachelors Degree in Business Administration, Business Management, Communications, or equivalent.
- 5 years of progressive professional experience as an Office Manager or Administration Manager in a leading professional service company ( Financial Services, Management Consultancy or Law firm)
- Team management skills
- Highly organized and detailed oriented
- Shows passion, motivation and dedication
- Strong business ethics, including the ability to work in a highly confidential workspace
- Proven working experience with Microsoft Office.
