Graduate Clerk – Operations and Service Delivery
Job Purpose Statement / Position Objective
The Graduate Clerk is responsible for ensuring the bank’s day-to-day activities by executing various operational duties. This entry-level position requires a strong understanding of banking operations and excellent customer service skills.
Key Responsibilities
The Graduate Clerk is responsible for the following key responsibilities:
- Cash Handling: Process daily cash collections and payments, ensuring cash is balanced daily and within the set period.
- Cash Management: Maintain assigned cash holding limits, assist in preparing cash bundles for repatriation, and submit and ensure cash transaction vouchers are authorized before system signoff.
- Cheque Processing: Receive and post outward and inward cheques, process and post bankers’ cheques, and maintain the security and confidentiality of company and customer information.
- Customer Service: Ensure high customer service standards, efficiently and promptly resolve customer queries, and keep up-to-date with new developments in the Banking industry.
- Regulatory Compliance: Ensure proficiency with banking regulations, including the Banking Act, CBK Prudential Guidelines, and KBA Regulations.
- Additional Responsibilities: Perform any other duties assigned by the immediate supervisor.
Position Dimensions
- Transaction Volume: Perform, on average, 80-100 transactions per day.
- Cash Handling: Handle on average 1-20 million shillings per day.
- Mpesa Transactions: Handle Mpesa transactions.
Monetary Responsibility
The Graduate Clerk handles cash transactions at the till and when transferring money to the vault.
Working Relationships
- Internal Relationships: Provide outstanding service delivery to clients, support the ICT department with system network issues, and communicate thoroughly with the corporate team to serve customers better.
- External Relationships: Interact with bank clients and agents who account holders appoint to perform transactions on their behalf.
Key Challenges/Anticipated Changes
- Flexibility and Adaptability: Maintain high efficiency at work to ensure customer retention and adapt to changes in the banking industry.
- Accuracy and Alertness: Ensure accuracy in transactions to avoid financial losses and remain alert to the possibility of fraud and forgery.

- Work Pressure: Work under pressure at times due to numerous tasks to be done and systems time off timelines.
- Speed and Concentration: Work speedily and maintain concentration for long hours.

Candidate Specifications
- Experience: One year of previous experience is preferred.
- Education: University degree in a business-related field.
- Skills and Knowledge: Basic accounting knowledge, basic computer knowledge (Word, Excel, PowerPoint), ability to work under pressure, work with speed and accuracy, and ability to work for long hours with little or no breaks.
- Personal Attributes: Good interpersonal skills, team player, ability to communicate effectively, fast learner, and ability to work independently with minimum supervision.
