Are you a highly organized and motivated individual with a passion for exceeding expectations? The Wilken Group, a dynamic and successful company, is seeking a skilled Executive Assistant to join their team and provide exceptional support to their Directors and the Administrative Department

In this role, you’ll play a pivotal role in ensuring the smooth operation of the company by providing comprehensive administrative and logistical support to the Directors. Your strong organizational skills, communication abilities, and unwavering dedication will be instrumental in maximizing the Directors’ efficiency and productivity.

What You’ll Do:

  • Master of Schedules: Manage the Director’s calendars meticulously, scheduling meetings, appointments, and events to optimize their time utilization.
  • Communication Hub: Act as the first point of contact for the Directors, screening and prioritizing incoming calls, emails, and other communications. You’ll ensure clear and professional communication with all stakeholders.
  • Travel Maestro: Become an expert in travel logistics by planning and coordinating all aspects of the Directors’ travel arrangements, including flights, accommodations, transportation, and detailed itinerary creation.
  • Content Creation Partner: Provide comprehensive support by creating and editing documents, reports, and presentations that effectively meet the Directors’ communication and work needs.
  • Information Architect: Organize and manage key documents, maintaining a secure and efficient filing and record-keeping system.
  • Stakeholder Liaison: Serve as the initial point of contact for the Directors, responding to inquiries from internal and external stakeholders with promptness and professionalism. This role may also involve developing and managing relationships with key stakeholders.
  • Office Efficiency Champion: Oversee the smooth day-to-day operations of the multi-company office environment, ensuring a seamless and productive work atmosphere.

Who We’re Looking For:

  • A Bachelor’s degree and a minimum of 5 years of experience as an Executive Assistant.
  • Proficiency in Microsoft Office Suite, email management tools, and scheduling software.
  • Exceptional organizational skills with a meticulous eye for detail.
  • Excellent communication, interpersonal skills, and discretion when handling confidential information.
  • A strong work ethic, exceptional time management skills, and the ability to multitask effectively while maintaining a professional demeanor.
