Location: NAIROBI
Position Overview:
We are seeking a detail-oriented Procurement and Administration Officer to support our procurement processes and ensure smooth administrative operations. The successful candidate will play a vital role in managing vendor relationships, facilitating procurement activities, and maintaining accurate records.
Key Responsibilities:
1. Support in General Reports for Procurement Processes:
– Assist in generating reports to track procurement activities and monitor key metrics.
2. Due Diligence for Vendors and Service Providers:
– Conduct due diligence on vendors and service providers to ensure compliance with company standards and regulatory requirements.
– Maintain records of due diligence findings for use in the approval process.
3. Updating Internal Databases:
– Update internal databases with information on active vendors and vendor onboarding onto the Management Information System (MIS) system.
4. Preparation of Comparative Bid Analysis:
– Prepare comparative bid analysis in accordance with procurement processes.
5. Sourcing for Quotations:
– Source quotations for program-specific requirements and staff items, collaborating with branches to gather specifications.
– Follow up with prequalified suppliers and wider market suppliers to ensure timely quotations.
6. Bidder Feedback:
– Provide feedback to bidders following the close of a procurement selection process.
7. Asset Management:
– Assist in coordinating the asset disposal process and managing company assets.
8. Purchase Order Monitoring:
– Monitor purchase orders and follow up with vendors to ensure timely supply and delivery.
9. Additional Support:
– Provide support as required in various procurement and administrative functions.
10. Data Analysis:
– Collate data and conduct basic analysis to inform procurement needs and outcomes.
11. Additional Duties:
– Perform any other duties and responsibilities assigned by the Supervisor.
Qualifications:
– Diploma in Business Administration, Supply Chain Management, or related field.
– Proven experience in procurement and administrative roles.
– Strong organizational and time management skills.
– Excellent communication and interpersonal skills.
– Proficiency in MS Office applications and procurement software.
– Knowledge of procurement regulations and compliance requirements.
– Ability to work independently and collaborate effectively within a team.
