Job description:
We are seeking a dedicated individual to join our team as Receptionist and Administrative Support personnel. The ideal candidate will be responsible for various tasks including reception duties, administrative support, and ensuring smooth communication within the organization.
Key responsibilities:
– Answering telephone calls and identifying needs for reception and switchboard by obtaining client information promptly and professionally.
– Providing exceptional administrative support including managing correspondence, scheduling appointments, and organizing documents.
– Recording all incoming and outgoing phone calls and ensuring effective management of landline costs.
– Proactively resolving office-related malfunctions and promptly responding to requests or issues from employees and clients.
– Building and maintaining trusting relationships with suppliers, customers, and colleagues to facilitate effective communication and collaboration.
– Any experience or proficiency in HR duties will be considered an added advantage.
Qualifications:
– Proven experience as an administrative assistant or office admin assistant.
– Diploma in Business Administration or its equivalent
– Knowledge of office management systems and procedures.
– Working knowledge of office equipment, like printers and fax machines.
– Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).
– Excellent time management skills and the ability to prioritize work.
– Attention to detail and problem-solving skills.
– Excellent written and verbal communication skills.
– Strong organizational skills with the ability to multitask.
– Ability to maintain confidentiality and handle sensitive information with integrity.
