Overview: We are seeking a skilled and organized Secretary to join our team. The Secretary will be responsible for providing administrative support to ensure efficient operation of the office. The ideal candidate will be detail-oriented, possess excellent communication skills, and have the ability to multitask effectively.
Responsibilities:
- Answer phone calls and direct calls to appropriate parties or take messages.
- Greet visitors and direct them to the appropriate person or office.
- Maintain office filing and storage systems.
- Retrieve information when requested.
- Type documents, reports, and correspondence.
- Prepare and distribute incoming and outgoing mail.
- Schedule appointments and update event calendars.
- Arrange meetings and ensure all necessary materials are prepared.
- Record, compile, transcribe, and distribute minutes of meetings.
- Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies, and verifying receipt of supplies.
- Coordinate maintenance of office equipment.
- Assist with other administrative tasks as needed.
Requirements:
- Proven work experience as a Secretary or Administrative Assistant.
- HR Educational Experience is an added advantage.
- Proficiency in MS Office (MS Excel and MS Word, in particular).
- Excellent time management skills and the ability to prioritize work.
- Attention to detail and problem-solving skills.
- Excellent written and verbal communication skills.
- Strong organizational and planning skills.
- Diploma; additional qualifications in Office Administration are a plus.
- Ability to maintain confidentiality and discretion.
