Our client, Aerosafe Africa Consultants Ltd is seeking a HR/Administration Officer who will be responsible for performing office administrative duties, as well as assisting with HR and accounting duties. The Administration Officer also acts as the Personal Assistant to the Accountable Manager.

DETAILED TASKS

Administrative Duties

  • Composes and prepares correspondence, reports, memorandums, agendas and minutes of meetings.
  • Provides information by answering enquiries from clients, visitors, colleagues and management.
  • Completes tender applications as and when called upon.
  • Prints gate passes for students and new staff members.
  • Ensures all office insurances and licenses are maintained and up to date (e.g., Business permit, City Council license, Office Insurance etc.)
  • Ensures that all First Aid provisions and emergency contingencies including the fire extinguishers inspections are always current.
  • Organises all local and international travel and accommodation arrangements for staff members and trainers.
  • Ensures the office is always clean and tidy by supervising the Cleaner.
  • Ensures the maintenance of all office supplies, equipment, and furniture.
  • Initiates procurement procedures for all organization office supplies.
  • Assists in monitoring and maintaining office stock supplies.
  • Takes stock of office supplies, requisitions, and places orders.
  • Updating all staff records and all training records.

Personal Assistant Duties

  • Manages the Accountable Manager’s diary by scheduling meetings and informing them of upcoming meetings.
  • Taking minutes for the Accountable Manager meetings where relevant.
  • Preparing presentations on behalf of the Accountable Manager (where relevant)

Human Resource Duties

  • Manages and maintains employee files and ensure all the documents required are provided.
  • Assists in preparation of payroll by providing Accountant with relevant information
  • Manages employee’s benefits (e.g., medical insurance).
  • Assists with rolling out annual performance reviews.
  • On boards new hires and provides initial required introduction and guidance.
  • Manages employees’ leave.
