The objective of the position holder is to support the efficient operation of the library by assisting with various tasks, including but not limited to cataloguing, shelving, checking in/out materials, providing assistance to library users, maintaining a tidy and organised library environment, and contributing to the overall effectiveness of library services.
Duties and Responsibilities
Reporting to Assistant Librarian,the position holder will be responsible for the following,amongst others:
- Registration of users in Koha
- Checking-out book(s) and due date stamping
- Accessioning, classification & Cataloguing.
- Bar-coding and Spine labelling & covering books.
- Ensure the library is operational as stipulated in the library policy
- Ensure all books are collected from the reading tables
- Regular re-shelving as needed but at least twice a day
- Ensure all items are properly labelled for retrieval
Qualification & Experience
- Diploma in Library and Information Studies or Diploma in Information Sciences or related field from a recognised institution.
- 1-2 years prior experience in a similar job.
- High levels of integrity
- Computer literacy and familiarity with standard office computer applications.
- Good record-keeping skills
- Well-developed verbal, written and communication skills

Records Clerk

The Records Clerk will play a crucial role in maintaining an organised and efficient records management system at Zetech University. Duties and Responsibilities
Reporting to Records Clerk,the position holder will be responsible for the following,amongst others:
- Implement systematic sorting, weeding, classifying, indexing, and preservation of records.
- Collect, store, and distribute students’ and staff mail from the post office or designated collection points.
- Handle the issuance and communication of student-related matters such as results and certificates.
- Verify the authenticity and accuracy of student documents in accordance with established procedures.
- Maintain the security of archives and the registry to prevent unauthorised access.
- Ensure proper, secure, and computerised storage of documents for easy retrieval.
- Respond to internal and external information inquiries related to students and staff records.
- Provide necessary support in retrieving and furnishing required information.
- Ensure the cleanliness, orderliness, and proper arrangement of the registry, creating an organised and accessible environment.
- Assist in the implementation of Quality Management System (QMS) standards in record management.
Qualification & Experience
- A minimum of a Diploma in Records Management or a related area from an accredited and recognized university
- 1-2 years prior experience in a similar job in a busy environment
- Computer literacy and familiarity with standard office computer applications.
- Good record-keeping skills
- Well-developed verbal, written and communication skills

Procurement Clerk

The Procurement clerk’s primary responsibility is to ensure the efficient provision of procurement services to Zetech University staff. They are tasked with fostering a collaborative, client-centric, and results-driven approach within the Procurement Department. Position holders will deliver professional, high-quality customer service, aligning with the University’s goals of value addition and strategic procurement objectives.
Duties and Responsibilities
Reporting to Procurement Officer,the position holder will be responsible for the following,amongst others:
- Preparation of Request for Quotation, Invitations to Bid, Requests for Proposal and co-ordination of their timely dispatch.
- Collecting and analysing quotes, bids and proposals for evaluation purposes.
- Assist with the coordination with the selected bidder to ensure completion of administrative processes including Bid Security, contract award notice and that contract documents are distributed accordingly
- Receive the approved requisitions and process the appropriate documents to effect local or oversea purchases
- Check and classify the precedence of the requisition and process based on priority.
- Establish and maintain effective working relationships with suppliers
- Maintain all the supplier files.
- Make errands on procurement assignments
- Monitor and analyse supplier performance.
- Plan, prioritise and review all assignments given
- Support other departments on procurement queries.
Qualification & Experience
- A minimum of a diploma in a business-related field (preferably Procurement/Supply Chain Management) from an accredited and recognized university
- 1-2 years prior experience in a similar job in a busy environment
