Overall role purpose:
Take direction from Head of Admissions to ensure all administrative activities related to the department are maintained, and are in line with, and support the Operational plan of the Academy. Work in collaboration with other departments and teams across the Academy to ensure a strong flow of communication and execution of the admissions mandate.
Key Responsibilities
- Provide administrative support and assistance to the Head of admissions in:
- Planning, coordinating, and executing administrative duties for the admissions department.
- Inducting and supervising admissions interns and contracted staff on the admissions process and expectations.
- Handling queries and complaints via phone, email, and general correspondence on admissions matters.
- Managing the admissions’ mail inbox, replying, forwarding messages, and making appointments as appropriate.
- Spearhead the procurement of logistical preparation of admissions calendar events (Accommodation, Transport, Hotel Bookings, and Planning Routes for Admissions interviews and home visits in all the 47 Counties in Kenya.
- Plan and coordinate internal meetings, workshops, and other functions for admissions personnel and academy staff.
- Ensure that enrolment processes are implemented and subsequently followed.
- Lead the coordination of all admissions processes from pre-enrolment, during admissions, and post-admissions.
- Compiling, writing, and editing admissions reports.
- Responding to Admissions related inquiries.
- Positively supporting at all times the Academy’s Values, Mission, and vision through the admissions mandate.
- Logistics duties such as:
- Work with prequalified travel agents and plan for tours and travel for international students and staff travels including ensuring that all their airport transfers, ground logistics and accommodation arrangements are in place.
- Facilitate acquisition of National ID’s for student beneficiaries through engagement with Sub-County registration office.
- Conduct monitoring and evaluation of the admissions project; categorise, update, track and analyse data related to the project e.g. student records.
- Prepare cash forecast to respond promptly to Logistics financial obligations; liaise with other user departments to ensure better use of transport and logistics budget.
Person Specification
- A business-related degree
- At least 3 years of working experience in student admissions.
- Experience in business support/administration.
- Good understanding of the Kenyan education industry.
- Experience in logistics planning and coordination.
- Must have advanced Microsoft Office suite knowledge.
- Previous experience working in a school in a similar capacity is an added advantage.
