Duties and Responsibilities
1 Administrative Support: Managing the CEO’s calendar, scheduling meetings, and coordinating appointments to ensure the CEO’s time is optimized for critical tasks and strategic initiatives.
2 Communication: Organizing the CEO’s office and ensure efficient flow of communication with Board Members, Clients, SMT, HOD and all staff as appropriate.
3 Liaison: Acting as the liaison person between the Chief Executive Officer and the staff ensuring that the Chief Executive Officer is fully informed of all occurrences within the Hospital.
4 Information Management: Organizing and maintaining important documents, reports, and data, often requiring a high level of discretion and confidentiality.
5 Travel Arrangements: Making travel arrangements, booking accommodations, and preparing itineraries for business trips, conferences, and meetings.
6 Meeting Preparation: Assisting in the preparation of materials, presentations, and agendas for meetings, as well as taking notes and following up on action items.
7 Project Coordination: Managing and coordinating special projects and initiatives on behalf of the CEO, which may involve collaborating with other executives and departments.
8 Relationship Management: Building and maintaining relationships with key stakeholders, both internal and external, on behalf of the CEO.
9 Problem Solving: Handling ad-hoc requests and addressing issues that may arise, often requiring quick thinking and resourcefulness.
10 Strategic Support: Providing valuable input and insights to assist the CEO in decision-making and strategic planning.
11 Time Management: Helping the CEO prioritize tasks and responsibilities to ensure the most critical issues receive the necessary attention.
12 Presentations and Reports: Prepare CEOs presentation and reports as required. Good understanding of data collection and analysis.
13 Record Keeping: Maintaining confidential records in the Chief Executive Officer’s office and organizing and maintaining an efficient filing and retrieval system
14 Performing any other duties that may be assigned by the Chief Executive Officer from time to time.
Qualifications
1. Education
University degree in Business Studies and Secretarial training or equivalent
Computerized secretary training
Diploma in Management will be an added advantage.
Very good working knowledge of MS office.
2. Job Experience
Minimum 6 years 3 of which in similar position in a busy commercial enterprise
