Our client a fast growing audit and accounting firm is seeking to recruit a highly motivated and experienced Receptionist / Administrative Assistant to join the team of dedicated professionals.
Job Purpose
The ideal candidate will have previous experience working in auditing and accounting consulting companies, possess strong organizational and administrative skills, and be committed to providing a welcoming and efficient front desk experience.
Key Responsibilities:
- Front Desk Operations: Greet clients and visitors with a warm and professional demeanor. Manage the reception area, answer phone calls, and direct inquiries to the appropriate team members.
- Administrative Support: Provide general administrative support to the office, including managing emails, handling correspondence, and coordinating office tasks.
- Client Engagement: Assist in scheduling and organizing meetings, including setting up conference rooms, preparing materials, and coordinating refreshments for client meetings.
- Office Maintenance: Ensure the office is organized, clean, and well-maintained. Monitor and order office supplies as needed.
- Document Management: Organize and maintain documents, files, and records in a systematic and accessible manner. Ensure confidentiality of sensitive information.
- Mail and Deliveries: Manage incoming and outgoing mail, packages, and deliveries. Distribute incoming mail and packages to the appropriate recipients.
- Travel Arrangements: Assist with travel bookings and accommodations for employees and clients as necessary.
- Event Coordination: Assist in planning and coordinating office events, conferences, and client meetings. Manage logistics and logistics for internal and client-facing events.
- Assist Colleagues: Provide support to colleagues as needed, including assisting with projects, data entry, and other tasks to ensure efficient operations.
Minimum Qualifications:
- High school diploma or equivalent (Associate’s degree or relevant certifications a plus).
- Minimum 3 years of experience as a Receptionist / Administrative Assistant, preferably within an auditing and accounting consulting company.
- Strong organizational and multitasking skills.
- Excellent written and verbal communication skills.
- Proficiency in office software and tools (e.g., Microsoft Office).
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Attention to detail and a commitment to delivering high-quality support.
- Professional demeanor and a customer service-oriented attitude.
