Primarily based at the employer’s home (2-3 days a week) and accompanying the client to the office and meetings (Remainder of the week)

Job Summary
We are seeking a highly organized and experienced Executive Administrator to provide comprehensive support to an 83-year-old gentleman who owns multiple steel factories. This role involves overseeing the day-to-day operations of the employer’s affairs, both at home and in a professional capacity. The successful candidate will work closely with the employer, ensuring his personal and professional life runs smoothly and efficiently.
Key Responsibilities
Administrative Support
– Manage the employer’s schedule, appointments, and calendar.
– Arrange and coordinate meetings, conferences, and travel itineraries.
– Handle phone calls, emails, and correspondence on behalf of the employer.
– Assist with document management, including filing and organization.
Accompany the Employer
– Work from the employer’s home for at least 2-3 days a week.
– Accompany the employer to the office and various meetings, appointments, and events as needed
– Ensure the employer’s comfort and assist with any special requirements during travel and meetings.
Office Liaison
– Act as a liaison between the employer and the steel factories’ office personnel.
– Assist in managing and prioritizing tasks, projects, and communications within the office.
– Maintain confidentiality and discretion in all dealings.
Personal Assistance
– Help with personal tasks and errands as requested by the employer.
– Ensure the employer’s home office is well-organized and equipped.
– Support the employer in various personal matters as needed.
Problem Solving
– Anticipate and address issues that may arise in both personal and professional capacities.
– Find solutions to challenges to ensure the employer’s comfort and efficiency.
Record Keeping
– Maintain records, files, and documents related to the employer’s business and personal matters.
– Ensure all important information is readily accessible and well-organized.
Qualifications
– Proven experience as an executive administrator, personal assistant, or a similar role, preferably in a high-level executive setting.
– Strong organizational and time management skills.
– Excellent communication and interpersonal abilities.
– Discretion and confidentiality are paramount in this role.
– Proficiency in computer skills and office software.
– Ability to adapt to a dynamic and ever-changing work environment.
– A male candidate is preferred due to the employer’s specific requirements.
Working Conditions
– The candidate will primarily work from the employer’s home but should be flexible to travel and accompany the employer to various locations.
– Travel may be required, and the candidate should be available during business hours and, at times, outside of regular hours.
