WHAT YOU’LL DO:
- Implement CABI Africa’s procurement policies, regulations, and procedures.
- Ensure compliance with regulatory requirements and ethical standards, relating to the procurement of goods, services, and works.
- Closely collaborate with project teams to ensure that all procurement needs are managed efficiently while keeping appropriate procurement request timelines.
- Plan and execute supplier pre-qualification for the region,working with the wider procurement team with an aim to eventually negotiate for the best quality and pricing of products and services.
- Working with the Operations Manager, coordinate procurement planning by supporting teams in preparing Annual Procurement Plans and providing budgetary estimates to achieve a more strategically planned procurement function for the Centre.
- Work closely with suppliers and end users to negotiate and review performance levels and identify remedial action for a reliable supply chain process.
- As a Secretary to the Procurement Committee, update and ensure safe custody of all procurement-related records, and management of meetings to evaluate, analyse and review purchase documents.
- Process VAT refunds and make follow up with the Kenya Revenue Authority, Ministry of Foreign Affairs, and the suppliers so that approvals and refunds are obtained.
- Contracts management: Review various contracts, sale agreements, etc. in consultation with the Operations Manager and end users to ensure key requirements are incorporated to safeguard the organization interests against risk exposure.
- Ensure three-way matching of documents to facilitate payments to vendors and completeness of the procurement process.
- Ensure timely opening and evaluation of tenders and quotations and carry out suppliers’ evaluations and appraisals.
- Support in processing and maintenance of protocol documentation
- End-to-end running of procurement exercises, advising and leading budget holders through the procedures, and following through with the finalization of purchasing or contracting.
- Identify opportunities for continual improvement in services and value for money.
ABOUT YOU:
- Bachelor’s degree in procurement and supply chain management or any other business-related degree;
- Certification from the Chartered Institute of Purchasing and Supplies (CIPS) or equivalent certification from a reputable institution;
- Membership to a reputable professional body (KISM, CIPS);
- At least Five (5) years progressive experience in a procurement and supply chain role.
- Excellent organisational and planning skills;
