Our client is a well-established Pharmacy Retail Chain with branches in high-end mall locations within Nairobi and is currently engaged in an aggressive expansion. The company seeks to onboard an HR and Admin officer as part of its strategic expansion plan to bolster both its administrative functions and human resource management.
Job brief
The HR & Admin Officer will be responsible for efficiently processing employee data, keeping company policies up-to-date, and assisting in the hiring process. You will play a crucial role in maintaining accurate employee records, ensuring compliance with HR policies, and promoting effective communication within the organization. Your attention to detail and ability to handle confidential information with discretion will be essential in this role.
Responsibilities
- You play a temporary Office Admin role in addition to your eventual assignment to full-time Human Resouce Management
- Maintaining physical and digital personnel records like employment contracts and PTO requests
- Update internal databases with new hire information
- Create and distribute guidelines and FAQ documents about company policies
- Gather payroll data like bank accounts and working days
- Publish and remove job ads
- Schedule job interviews and contact candidates as needed
- Prepare reports and presentations on HR-related metrics like the total number of hires by department
- Develop training and onboarding material
- Schedule employee annual leaves and duty rota
- Conduct annual employee appraisals
- Define and keeps a record of employee sick offs
- Handle employee disciplinary matters
- Respond to employees’ questions about benefits (for example, the number of vacation days they’re eligible for)
Requirements and skills
- Work experience as an HR officer or office Admin Officer or similar role
- Familiarity with Human Resources Information Systems (HRIS)
- Basic knowledge of labor legislation
- Experience using spreadsheets
- Organizational skills
- Good verbal and written communication skills
- BSc in Human Resources Management or relevant field
