Responsibilities:

Supporting the Chief of Business Finance and Operations (CBFO) and BFO Leadership team

  • Facilitate and initiate executive communications (with a high sense of urgency and proactivity) with different stakeholders, inclusive of PATH finance and audit committee, PATH leadership team, BFO leadership team and all PATH.
  • Serve as the primary point of administrative contact and liaison between the chief BFO and the rest of the organization including the board of director.
  • Provide administrative support to CBFO and to the BFO LT (scheduling, planning and executing) supporting the execution of our finance rhythm of the business (Quarterly committees, QBR, board meetings, ET meetings, BFO LT meetings).
  • Coordinate and initiate executive communication drafts as required (CEO memo, Quarterly committees, LT and all PATH communications).
  • Manage back-office administration to the BFO and broader BFO LT leadership team (travel logistics, expense reports, proof reading and other ah hoc requests).
  • Coordinate arrangements for conferences, workshops, large meetings involving BFO LT, and other events.
  • Update/maintain BFO site(s), distribution lists, organizational charts, and Team Channels.
  • Support Annual Review of the Delegation of Organizational Signature Authority (DoSA) and maintain the DoSA collaboration site in partnership with the controller.
  • Update and maintain BFO sites, including a few related subsites: BFO SharePoint, BFO mentorship, BFO new staff onboarding, Finance, Global Accounting, Procurement, and Treasury.
  • Provide administrative and business support to the BFO leadership team as required.

Internal Liaison

  • Maintain/update/promote the Support Staff Resources site.
  • Support the staff Team and other Executive Assistants to answer questions/provide resources and updates.
  • Provide logistical support for large global meetings in Seattle and other locations as requested.
  • Support/mentor PATH Program Assistants.

Required skills and experience:

  • Minimum of 10 years providing high level executive administrative support
  • Experience working with international teams across different continents.
  • A bachelor’s degree in business administration or related relevant field – master’s degree in business administration is a plus.
  • Resourceful, proactive, and independent. Act with a high sense of urgency
  • Proven competency in information technology including proficiency in MS and applications.
