Title: Business Development Coordinator and Administrator Industry: Manufacturing

Location: Nairobi. Key Responsibilities CUSTOMER SERVICE

·        Ensure information is readily available regarding the company’s services and

products through various sources.

·        Ensure clients are updated on the progress of their job requests.

·        Ensure client queries about product specifications and uses are addressed.

·        Ensure clients are sent E-shots as advised.CLIENTS

·        Collaborate with Client Managers to ensure that products and services are responsive to client needs.

·        Develop a strong understanding of customers and market dynamics.

·        Networking in industry associations to gain insights for the sales and business.

·        Follow up onboarding clients with the Client Managers.

·        Feeding the on-boarding clients into the system and sharing it with the Accounts department and Client Representatives.

·        Ensure reports on updated client list is updated and shared with the CEO on weekly basis.

·        Work with the Client Managers to create a client list by categories-(make calls to clients and set dates for appointments)

·        Dashboard- Share accurate status report with the C.E.O on the jobs of each client.

·        Onboarding tender clients and track number of times we call clients.COMMUNICATION

·        Collaborate with marketing and other departments in the group to develop market research for administration of business.

·        Be the point of Communication – upward and downwards.

·        Ensure frequent feedback to Client Managers regarding the jobs.

·        Communication to dispatch department on Clients jobs.

·        Dashboard- Share accurate status report with the C.E.O on the jobs of clients.

·        Customer journey with reference to process and experience when interacting from awareness stage to purchase and beyond.

·        Follow up on feedback of our clients and upselling.

·        Tracking of clients.PRODUCTION

·        Updating the Sales reps on the ongoing jobs at the productions to inform the clients.

·        Ensure daily status report of jobs and clients is updated and shared with the CEO daily.

·        Ensure the status of the jobs is updated in the admin system.FINANCE DEPARTMENT

·        Support order processing/invoicing with essential documentation and constant follow ups.

·        Support Purchasing/sourcing process with supplier onboarding and maintaining a robust outsource suppliers’ data.

·        Support in developing and implementation of the commercial division departmental budget.PRODUCT RELEASE

·        Ensure accurate invoices are issued to the marketing clients.

·        Ensure information on LPOs, invoices and delivery notes is accurately recorded and filed.REPORTS

·        Develop and present periodic admin reports.

·        Monthly reporting – on sales, percentage conversion sales, value of sales and design time for each job.STOCK MANAGEMENT

·        Work with the Assistant Production Manager on stock reports and share with the Senior Accountant.DEPARTMENTAL MEETINGS

·        Ensure you update CFO on the departmental needs and planning departmental meetings with the CEO and minutes recorded and filed.

·        Ensure the Client Managers report regarding client visitation and potential incoming jobs is updated and sent to the shared group with the CEO on weekly basis.

·        Ensure you organize departmental meeting every Monday and minutes recorded and filed.

·        Ensure the departmental objectives set are followed up and filed.

·        Ensure you manage the Central calendar regular meetings. Professional Qualifications and Experience

·        Bachelor’s degree in any of the following discipline: Business Administration and any social Science.

·        Master’s degree in business administration or its equivalent from a recognized institution.

·        At least six(6) years cumulative relevant work experience, four (4) of which should have served at management level.Core Competencies
