Role Purpose:
This position will support the annual organizational planning process, long term strategic planning initiative, project management implementation, events and conferences (including annual ACLED retreat), and any other projects as defined by the Head of Operations.
Key responsibilities include:
PRINCE2 Tools & Socialization
- Arrange and socialize project management tools including but not limited to project briefs, risk register, communication management approach, GANTT charts, etc.
- Oversee regular project management training across departments and assist all teams with PM tools implementation.
- Add bullet on training oversight and control of tools something like that
- Embed PRINCE2 tools and procedures across the organization.
Annual and Strategic Planning
- Coordinate the process of annual and strategic planning, facilitating collaboration between teams and the executive team.
- Facilitate annual work planning including production of work plans, budgeting, and project management tools, such as GANTT charts and Priority Matrix.
- Serve as a liaison between the executives, departments heads, and board members, to ensure that organizational goals are met.
- Drafts schedules for implementation of long-range plans and proposals (including long term strategic planning).
- Monitor project progress, drafting and distributing periodic progress reports for leadership and stakeholders.
Special Project Management
- Coordinate and support any ongoing and ad-hoc projects for the Operations Team.
- Manage and assist in the implementation of ACLED’s cross-organizational projects, as specified by the Head of Operations.
Events Management
- Coordinate in-person and online events such as Team Retreat, SMT Conference, Local Administrators Project, All-ACLED calls (conflict and strategic), ACLED-led conferences and subgrantee events etc.
- Responsible for event budgeting, results analysis, and vendor contract negotiations.
- Work with the communications department on the production of all event and project materials and public relations.
- Act as a liaison with all staff members and teams, board members, and external partners and vendors.
Skills and competencies:
- At least 3 years of experience working in the nonprofit sector and supporting administration, strategic planning or development in the fast-paced environment.
- Knowledge of the project management cycle; PRINCE2 qualification is required.
- Experience using a project management tool, such as Asana, is required.
- Solid understanding of financial management as part of the project cycle.
- Experience in strategic planning, with a proven track record of success.
- Experience managing projects and coordinating teams of low to medium size and complexity throughout the full project cycle.
- Bachelor’s degree in International Relations, Politics or related field (desirable).
- At least 3 years of experience in events management, both in-person and virtual.
- Excellent verbal and written communication skills.
- Attention to detail and excellent interpersonal and organizational skills.
- Excellent time management skills with a proven ability to meet deadlines.
- Strong analytical and problem-solving skills, multitasking.
- Proficient with Google Workspace and Microsoft Office Suite or related software
