We seek to recruit one (1) Operations Assistant to assist in warehousing, operations and regulatory/quality activities, to be based in Nairobi.
The successful candidate will report to the Warehouse Manager with the following specifications:-
Key Areas of Responsibility
Receiving and Storage (with an emphasis on controlled medicines)
- Receiving and storage of goods as per the company’s SOPs, GSP and GWP
- Ensure timely fill rates for full box (es) and picking stores
- Ensure manual transfers are picked and invoices are sent out to branches or customers on time
- Filing overseas and dispatch reception checklists during reception (where applicable)
- Conduct daily random counts of the stock to check for any discrepancies damages and/or expiries and immediately report to the line manager
- Daily temperature monitoring and recording of all store locations
- General cleanliness and housekeeping of the warehouse
- Keep a record of all controlled substances, promotional materials and samples using bin cards
- Adhere to PPE (personal protection equipment) in the warehouse at all times
Dispatch and Fleet Scheduling (with an emphasis on controlled medicines)
- Follow the dispatch procedures
- General housekeeping at the dispatch area (where applicable)
- Packing and checking of all upcountry deliveries and vaccines (where applicable)
- Receiving and dispatching incoming vaccine consignments (where applicable)
- Filling the GRN recorded when receiving back stock from delivery staff
- Filing of all invoices from customers and handing over to finance
Procedure Drafting, Implementation and Review
Assist in the drafting/development, execution/implementation and review of policies and procedures in relation to both warehousing and distribution of stock (with an emphasis on controlled substances and pharma regulatory practices).
Other Related Duties
- Liaison between the Warehouse and Transit Departments
- Liaison between the Warehouse and Operations Director
- Liaison between the Quality and Regulatory and Warehouse Departments
- Assisting in closing out of CAPAs, internal and external audits and Kaizen activities
KEY PERFORMANCE INDICATORS
- Management of expiries in conjunction with the Warehouse Manager
- Stock take – ensuring zero variances especially controlled substances and high value products
- Number of SOPs drafted, reviewed and implemented
- Number of applicable internal and external trainings attended and conducted to ensure required Continuous Professional Development (CPD) points are attained

Qualifications
- Degree or a Diploma in Pharmacy
- Minimum of 1 year working experience
- Experience and qualifications in warehouse operations and distribution will be an added advantage
- Diploma/knowledge of pharmaceutical supply chain will be an added advantage
