JOB OVERVIEW
- The incumbent furnishes a wide range of administrative duties to International Narcotics and Law Enforcement Affairs (INL) Nairobi. Under the supervision of INL Program Specialist, incumbent is responsible for administrative management of INL’s resources and activities including but not limited to financial, procurement, supplies, and office administration and management.
MAJOR DUTIES AND RESPONSIBILITIES
- Administrative Responsibilities and support: (60% of Time)
- Administers all facets of day-to-day operations and activities of the various INL projects and the INL office.
- Schedules and coordinates program activities and appointments, including hosting events at the Embassy.
- Take meeting minutes.
- Keeps track of program contacts
- Administratively track and analyses procurement requests for contracts and service
- Manages administrative details for the INL/Nairobi program at the Embassy, including ICASS billing, equipment maintenance, records maintenance, motor pool requests, access requests, etc.
- Arranges travel requests for INL Director and INL TDYers to Kenya
- Manages and maintains a central filling system for INL office.
- Maintains and updates INL SharePoint
- Timekeeping Duties – Back up to POL T&A
Leahy Vetting (20% of Time)
- Ensure that the INL program implementers provide timely and accurate information for Leahy Vetting and submit nominated candidates for vetting. Ensure that this information is submitted to Washington for processing and following up on approvals for training.
End Use Monitoring: (20% of Time)
- Assist with ILMS INL End Use Monitoring (EUM) module to compile, track and report project end use monitoring activity completed throughout the calendar year.
Note: Job holder will perform other related duties as assigned.
Qualifications and Evaluations
EXPERIENCE:
- Minimum of 4 years of progressive administrative work is required. Must have at least 2 years’ experience working on Law Enforcement Assistance programs.
JOB KNOWLEDGE:
- The incumbent must have a personable nature and enjoys meeting new people. This is an important quality to INL program as it enables the incumbent to make meaningful connections with INL program partners and encourage participation in future INL programming. Use of one or more software programs to create schedules and organize programming. Basic knowledge of National police Act and Police oversight structures.
Education Requirements:
- Completion of high school is required.
- Two (2) years University/College studies is required.
Evaluations:
LANGUAGE:
- Level 4 – Fluent; written/spoken, including ability to translate.
- Kiswahili Level 3 – Good working knowledge; written & spoken.
