Procurement
- Preparations of local purchase orders and follow-up with suppliers for delivery of goods and documents.
- Planning for the procurement of all local trims and labels in collaboration and coordination with other supervisors.
- Conduct market research in order to establish the availability of goods, reliability of suppliers, and price competitiveness of goods.
Store and Stock keeping
- You will ensure that all minimum stock levels are being followed & no stock-outs are experienced that would affect the production flow.
- Ensure proper receiving and issuing of goods from stores and relevant departments including raw materials, packaging, finished goods, and returnable tools.
- Ensure that finished goods are weighed and labelled accurately and ready for shipment. Ensure the weighing of fabric scraps has been done correctly and update the waste register on time.
- Overseeing Loading and offloading of both imports and exports
- Be in charge of all dispatches from the company and issuing gate passes.
- Ensure that all stocks are arranged in a systematic order & are easily accessible & cleanliness is maintained at all times.
- Update the daily stock sheet, reconcile physical stock with records, and report immediately on any stock variances. You will plan for month-end stock takes & ensure that all stock reports are presented to the finance department by the 1st of each month.
Packing
- Fill in the packing register book/update the packing register book on time.
- Ensure all imports/exports files are well kept and updated.
Administration
- Update Sales, purchases, and fabric statistics reports on EPZA returns templates on a quarterly and yearly basis and ensure it’s submitted to finance on time.
- Prepare accurate KRA/Customs monthly reports and ensure they are submitted on time.
- Ensure all courier invoices are correct before sending them to finance for payments.
- Ensure local purchases into the EPZ have bond entries generated and canceled in due time.
- Be punctual, flexible, and willing to learn new skills and gain more responsibilities
- Any other stores, packing, procurement, and administration-related duties assigned to you by management.
Qualifications
· 3+ years’ experience managing a busy store in storekeeping, inventory control, and recordkeeping (working in a garment manufacturing company would be preferred.)
· Knowledge of different fabrics, garment trims as well as sewing machine spare parts will be an added advantage
· Excellent computer skills with proficiency in Excel
· Knowledge of proper bookkeeping and inventory management
· Familiarity with standard concepts and best practices in a stockroom environment
· Analytical mind with the ability to make accurate mathematical computations.
· Competencies in data entry, analysis, and management
· Keen attention to detail and ability to effectively manage time
· Having managed a number of staff both skilled and unskilled
· A good team player with excellent communication skills both written and verbal
· Independent with the ability to work under minimal supervision
· Experience with an ERP system would be an added advantage.
