Job Summary
The Finance & Administration Officer will play a crucial role in ensuring smooth operation by overseeing the financial and administrative functions of the organization. Reporting directly to the CEO, the Finance & Administration Officer will be responsible for managing the organization’s finances, ensuring accurate accounting and timely payments, and maintaining financial tracking systems.
Duties and Responsibilities
1. Financial Management-Keeping records, reviewing and recommending updates to financial policies, preparation of budgets and forecasts, financial analysis, and monitoring cash flows.
2. Financial Accounting-Update internal systems with financial data, process invoices, prepare balance sheet and income statements, cash flow statements, and Produce monthly trial balance and annual financial statements in accordance with statutory and International Financial Reporting Standards
3. Grant investment Management-Monitor and track grant investment spending, prepare grant and investment proposals and ensure compliance with grant and investment requirements, and conduct financial analysis of grant investment programs to ensure that they are aligned with the organizational objectives and strategies.
4. Relationship management on financial and accounting Matters-Provide customer service to internal and external stakeholders including funders, investors, partners, and suppliers.
5. Risk Management and Compliance- Participate in and contribute to financial audits, and ensure that all operations and procedures comply with legal regulations and internal policies.
6. Office Administration and Logistics- Manage office facilities and equipment, including maintenance and repair, ensure an adequate supply of office materials and supplies, Keep track of expiry dates of all insurance policies, and Provide logistical support for travel and accommodation arrangements.
Person Specification
• A Bachelor’s degree in accounting, finance, or a related field.
• CPA (Certified Public Accountant) K certification.
• At least 3 years of relevant accounting experience, preferably in the agricultural or development sector.
• Strong understanding of Kenyan tax laws and experience working with IFRS for SMEs.
• Proven experience in financial analysis, with the ability to interpret and analyze financial data to inform decision-making.
• Proficiency in Microsoft Office, particularly with advanced Excel skills (e.g. pivot tables, VLOOKUPs).
