The role exists to provide executive assistance, administrative and logistical support to the Chief Executive Officer’s office. The position will also provide legal support services in relation to coordinating the legal panel and reviewing legal documents as well as Board operations.
Key Responsibilities
Executive Assistant Responsibility
- Manage, coordinate and maintain CEO’s calendar including appointments.
- Organise and facilitate internal and external meetings on behalf of the CEO and Board of Directors.
- Organise CEO’s and Board of Directors’ travel arrangements and logistics.
- Handle incoming correspondence to the CEO’s office and the Board to ensure they reach the intended recipient.
- Provide secretarial services and correspondence to the CEO.
- Coordinate Board and senior management meetings, distribute agenda, take and circulate the minutes as well as follow up on action plans.
- Prepare various reports and presentations as may be required by the CEO from time to time.
- Coordinate Board meetings including ensuring reports are prepared and circulated to Board members.
- Maintain records efficiently and in a confidential manner.
- Custodian of all board minutes and governance documents.
- Liaison person to National Hon. Secretary to ensure any form of communication to and from the Society has been verified and approved for circulation.
Legal Affairs Responsibility
- Keeping up to date with the regulatory and statutory changes and policies that might affect the Organisation.
- Advise directors and members of the management team on corporate governance matters.
- Review legal documents such as leases to ensure compliance to statutory requirements and the
SACCO’s policies.
- Coordination with Legal panel on legal matters and disputes resolutions by providing briefings/discussion, providing required documents and follow up with the concerned on all legal cases.
- Timely and accurate review of legal reports, opinions, agreements and other legal documents in
relation to the SACCO’s business.
- Ensuring efficient and proper perfection of all the SACCO’s securities as well as maintenance of its
collateral records.
- Litigation coordination and updating the CEO on the progress of outstanding litigation.
- Coordinating the legal panel to ensure representation of the SACCO in courts or other judicial authorities and ensuring timely filing of legal or civil cases against debtors/ defaulters.
- Following up on renewals or termination of agreements/contracts.
- Liaise with relevant departments to ensure that where legal risk has been identified, appropriate course of action has been taken.
Requirements
- A Bachelor’s Degree in Law from a recognized University.
- At least five years’ experience in a related field.
- Advocate of the High court.
- Certified secretary has added advantage.
