Position: Administrative/Executive Assistant
Location: Nairobi
Overall Purpose: The job holder will be responsible for providing administrative support to General Manager and other executives, managing the office, coordinating teams, and assisting with event planning and execution.
Duties & Responsibilities
- Provide administrative support to the company’s executives, including managing their calendars, scheduling meetings, and assisting with ad-hoc projects as needed.
- Manage the office, including answering and directing phone calls & emails, managing office supplies, and ensuring excellent customer service to clients and vendors.
- Create and maintain various documents, spreadsheets, and databases.
- Schedule appointments, coordinate & manage calendars for the team.
- Coordinate meetings for the team, including booking venues and arranging catering/Accommodation.
- Assist with event planning and execution, including venue research, vendor coordination, and on-site management.
- Provide administrative support in handling employee and motor vehicle insurance matters, and court cases where necessary.
Requirements & Qualifications
- Degree in Business Administration, Human Resource Management, or a related field
- At least 2 years experience in a fast-paced environment that showcased organization and keenness to detail
- Knowledge in handling and following up on court cases, insurance and immigration matters.
- Experience in Human Resource Management is an added advantage.
- A valid Driving License.
- IT savvy and proficient in Microsoft Office and calendar organization tools
- Discreet individual, able to handle highly confidential and sensitive information
- Effective communication skills, both written and verbal
