SUPERVISOR – REGISTRY MANAGEMENT

The Company is recruiting for the position of Supervisor – Registry Management and the job holder will be based at its Head Office in Madison House, Nairobi.

The Role

Key Responsibilities

  1. Oversee receiving, verification and confirmation of new files transferred
    to the registry from users
  2. Oversee indexing new files into the specific department/product
    inventory.
  3. Shelving new and used files into the correct locations
  4. Collection and/or receiving used files from various departments and
    verification against lists provided for transfer.
  5. Sorting used (file-always) and new files for entry into the system and
    re-filing.
  6. Receiving client requests directly from users or from the registry officer
    in charge of requests.
  7. Retrieval of files requested by the staff members (clients) in respective
    departments within the set timelines.
  8. Tracing and keeping track of policy files -to prevent file misplacement.
  9. Oversee Indexing lapsed/closed files for transfer to the archives.
  10. Oversee Consolidating active policy files – to create space for new policy
    files.
  11. Liaise with the archives agency service provider to ensure proper
    effectiveness and efficiency of the services provided.
  12. Assist in the Document Digitization Process.
  13. Oversee document/record disposal processes.

Minimum Requirements

QUALIFICATIONS, EXPERIENCE AND COMPETENCIES

1. Bachelor’s degree in Information Sciences, Library Science or Records
Management
2. At least 5 years of experience working in a busy registry.
3. Electronic record Management training lasting not less than 2 weeks.
4. Supervisory training lasting not less than 2 weeks.
