1. JOB SUMMARY – PURPOSE
Under the general supervision of the Operations Manager, the Storekeeper ensures the store management system are efficient and effective in providing the necessary logistics and store management services; ensures safe custody and security, cost effective material handling system and timely delivery; operates automated stores management using appropriate software.
Key Responsibilities
The responsibilities of the Supply Chain Coordinator include but are not limited to:
- Receives materials incoming from outside and prepares goods receiving note, records and keeps in appropriate file.
- Issues materials against authorized store requisition and keeps store issue voucher in appropriate file.
- Distributes copies of store documents to appropriate departments.
- Ensures that final beneficiary usage reports are remitted by all the program teams and filled appropriately.
- Keeps store documents in a manner that simplifies identification and retrieval.
- Makes sure all materials are stored in appropriate places away from rain, dust, pilferage, and deterioration.
- Operates an automated computer system to balance and record inventories and stocks.
- Prepares monthly stock report on the status of stock movement.
- Organizes the arrangement of items in proper location, shelf, code, and group for easy retrieval up on needed.
- Makes sure stock is arranged for easy physical count and stock taking.
- Proposes disposal of damaged, obsolete, expired materials.
- Participates and facilitate for annual physical inventory and regular stock takes.
- Makes all users sign custodian sheet and update from time to time.
- Implements cost effective material handling system.
- Ensures that storehouses are cleaned, and stocks are secured.
Performs other tasks and responsibilities as directed by the supervisor.
Qualifications and Experience
- Level of Education/Academic Qualification
- Diploma in store keeping and stores management.
- Specialized Training/Professional Qualifications
- Excellent planning and prioritization skills as well as creative problem-solving and analytical skills.
- Other Competencies/Abilities/Skills Required
- Strong analytical skills
- Strong interpersonal skills
- Excellent computer skills
- Attention to detail
- Computer literacy especially proficient use of MS Office suite; Word, Excel, Access.
- Relevant Work Experience
- At least one 5 years’ experience in a similar position preferably in a hospital environment.
- Experience in use of Health Management information systems, ERP or Digital stores management tools will be most preferred.

The job is performed in accordance with standard procedures and guidance with occasional need for independent decision. It is guided by the professional standards outlined in the respective professional field and must be performed without compromise to those standards.
It makes recommendation to the management on issues relating to management of clinical services – supplies, drugs and equipment that enable effective service delivery.
