Scope of work

This position is responsible for tracking and supervising repairs and Maintenance of assets in the organization. The holder of the position shall work closely with the facility and assets Manager to ensure that Assets warranty are well managed and tracked, there is proper assets verification and tagging, tracking and ensuring that there is assets accountability, maintain a cordial relationship with Penda supplier management and supervision of facility repairs and maintenance 

 Responsibilities:

  • Helpdesk management: Receive asset and Facility repair requests from different departments through the helpdesk, assign the requests and take the appropriate action(s)
  • Coordinate preventive maintenance: update the equipment service schedule with all the assets that require servicing, update the schedule with the servicing frequency, track the service schedule to ensure that relevant assets are serviced on time and update the next service dates for all equipment.
  • Assets warranty management: record all assets under warranty and their warranty period as well as the warranty terms. Initiate the transition of an asset from the warranty period to the maintenance period and liaise with the procurement department for a maintenance contract within a reasonable time frame.
  • Track and supervise asset and facility repairs and replacements: record all the asset/facility repairs and replacements in the assets/facility repairs and maintenance tracker every two weeks noting down the asset, the date the fault was reported and the date it was fixed, the cause of the fault, and the cost of fixing the fault.
  • Asset verification and Asset Tagging: plan and conduct regular stock takes to confirm the assets held by the company and their condition. Participate in asset audits. Develop unique asset tags for every asset purchased and tag the assets within a specified time frame, redo tagging for assets whose tags have fallen off and/or have gone missing.
  • Assist in tracking accountability issues: record all asset and facility faults that occur as a result of user mishandling, negligence and/or malice.
  • Supplier/Contractor Management: Build and Maintain effective relations with contractors and suppliers.
  • Supervision of Repairs and Refurbishments: Visit the branches for repairs identification and coordinating for repairs and refurbs and supervise all works done. 

Requirements: 

  • Bachelor’s degree or diploma in engineering, or a business related field
  • 2 years of experience in facility and asset management
  • Strong project management skills and ability to multitask and prioritize tasks effectively
  • Excellent communication and interpersonal skills
  • Proficiency with facility and asset management software and tools
  • Knowledge of health, safety, and environmental regulations and standards related to facilities and assets
  • Excellent communication skills
