Job Summary
Responsible for providing administrative support to the Branch to ensure the smooth running of the day-to-day Branch operations.
Key Tasks and Responsibilities
Core duties and responsibilities
a. Carries out office administration and handles enquiries from visitors to the Branch
b. Handles correspondences, telephone calls, office documents and equipment.
c. Ensures good Branch office layout.
d. Plans and organizes meetings/workshop/conferences and seminars for the Branch.
e. Ensures security of Branch office records, equipment and documents including classified materials.
f. Arranges for Branch meetings by ensuring that files and documents needed for the meetings are
ready
g. Prepares responses to general and routine correspondence.
h. Develops and maintains office systems including records management
i. Maintains Branch office property inventory.
j. Sorts all incoming mail and submits them to the appropriate staff for action
k. Guides and supervises outsourced support staff.
l. Maintains office and equipment in good working conditions.
m. Stores, retrieves and integrates information for dissemination to staff and other Branch
Stakeholders
n. Manages front office including ambience, tidiness and promotional materials display.
o. Receives hand delivers mails and dispatches the same to Branch registry
p. Replenishes Branch reception reading and other materials.
q. Oversees the provision of stationery, water and other refreshments for Branch Staff and Visitors.
r. Manage cleanliness of the Branch offices
s. Liaise with Occupational Health and Safety Representatives and ensure workplace safety measures
are maintained.
t. Updating of leave schedules at branch levels.

PERSON SPECIFICATIONS
Academic Qualifications
a. Bachelor’s degree from a recognized institution.
b. Diploma in Business related field in combination with qualifying experience of three (3) years may be
accepted in lieu of a Bachelor’s Degree.
c. Secretarial Studies will be an added advantage.
Experience
a. A minimum of 2 years relevant experience.
Knowledge, skills and attributes
a. Knowledge in use of MS office packages
b. Communication and interpersonal skills
c. Organization skills
d. Ability to prepare reports
e. Attention to detail.
